1. Policy Statement

Holiday Camp is committed to maintaining the highest standards of health and safety for all children, staff, and visitors. We believe that safety and wellbeing are fundamental to the enjoyment and success of our programs, and we work proactively to prevent accidents, manage risks, and respond appropriately to any incidents.

2. Responsibilities

2.1 Director

The Director (Rajveer Maharaul) holds overall responsibility for ensuring compliance with health and safety legislation and policy implementation across all Holiday Camp venues.

2.2 Site Leads

Each camp has a Site Lead who:

  • Conducts daily safety checks of facilities
  • Ensures first aid supplies are stocked
  • Leads the response in emergencies
  • Briefs staff on safety protocols

2.3 Staff Members
All staff are responsible for:

  • Adhering to safety procedures
  • Reporting hazards or incidents promptly
  • Supervising children effectively
  • Maintaining clean, organised activity areas

3. Health & Safety Practices

3.1 Daily Safety Checks

  • Venues are inspected daily before children arrive
  • Play equipment, activity spaces, and toilets are checked for cleanliness and safety

3.2 First Aid

  • At least one First Aid-trained staff member is present at all times
  • First aid kits are available in each camp area and checked weekly
  • All accidents are recorded in an incident log and communicated to parents

3.3 Supervision & Ratios

  • Maximum ratio of 1 adult per 12 children
  • Staff monitor children during all transitions, including toilet visits, lunch breaks, and activities

3.4 Hygiene & Illness

  • Children are encouraged to wash hands before meals and after toilet use
  • Any child displaying signs of illness (fever, vomiting, etc.) will be safely isolated until pickup
  • Parents are required to keep children home if unwell

4. Fire Safety & Evacuation

  • Each venue has a clearly marked evacuation plan
  • Fire drills are conducted during the camp week
  • Staff are trained to lead children safely to designated assembly points
  • Fire extinguishers and exits are checked regularly

5. Equipment & Materials

  • All resources (STEM kits, sports gear, arts supplies) are age-appropriate and routinely inspected
  • Unsafe or broken equipment is removed immediately

6. Training

All staff receive:
  • Health & safety induction
  • Annual updates or refreshers
  • Site-specific briefings

7. Incident Reporting

All incidents, accidents, or near-misses must be:

  • Reported to the Site Lead
  • Logged in the Incident Report Form
  • Reviewed to inform future prevention

8. Policy Review

This policy is reviewed annually or following any incident, feedback, or changes in legislation.
