1. Policy Statement

At Holiday Camp, we celebrate children’s achievements and joy through photos and videos taken during camp activities. These images may be used to showcase our program and inspire other families through marketing channels, including our website, social media, and promotional
materials.


This policy ensures that photography and video use is conducted respectfully, legally, and with full parental consent.

2. Purpose of This Policy

  • To protect the privacy, safety, and dignity of children attending Holiday Camp
  • To outline how we collect, store, and use images and videos
  • To ensure that parents and guardians are fully informed and able to opt out at any time

3. Consent and Opt-Out

  • Parents/guardians are asked to provide explicit consent during the booking process.

You may opt out at any time by:

  • Indicating your preference on the booking form
  • Email us at [email protected]
  • Children of parents who opt out will not be included in any photos or videos.

4. When and Where Photos Are Taken

Photographs and videos may be taken:

  • During group activities (STEM sessions, sports, creative arts)
  • At award ceremonies or themed days
  • With instructor-led groups and during outdoor play

We will not take or share:

  • Images of children in distress or inappropriate poses
  • Photos taken in toilets, changing areas, or any private settings

5. Use of Images and Videos

With consent, images may be used for:

  • Holiday Camp’s official website
  • Printed flyers, banners, and brochures
  • Holiday Camp’s social media channels (e.g. Instagram, Facebook)
  • Internal staff training or presentations
  • Promotional videos or parent testimonials

6. Storage and Security

  • All images and videos are stored securely on password-protected systems
  • Only authorised staff have access to original files
  • Files will be retained for a maximum of 3 years, unless ongoing consent is granted

7. Sharing and Third Parties

  • We do not share images with third parties without additional consent
  • No images will be sold or used commercially beyond Holiday Camp’s internal promotional purposes

8. Children’s Rights

  • If a child objects to being photographed at any time, staff will respect their wishes, even if consent has been given by a parent
  • Staff are trained to recognise and respond sensitively in such instances

9. Review and Policy Updates

This policy will be reviewed annually and updated in accordance with:

  • Child safeguarding best practices
  • UK GDPR and data protection laws
  • Feedback from parents and partners
